-To support Case Managers & Senior Admin Exec in all administrative matters with timeliness and accuracy, leading to successful enrolment of children for DS LS/ DS PLUS.
-To work closely with the Learning Support Educators and therapy team in ensuring prompt submission of documents, eg case notes, EOI.
-Case management system using Child Connect/ NMTS/Gdrive and SSnet.
-Supports the Programme Manager in the administrative and operation aspects of the NFC Small Group Intervention Programmes (FLAiR & Classroom Support Programme).
-Works with MFS centres and other organisations to execute programmes, and manage communications and feedback from stakeholders.
-Organizes training related activities and handles HR related matters for programme teachers.
-Update and manage database on systems (Child Connect, SkoolNet 2)


Job Responsibilities:
Before Case Filter Meeting
-Email LSEDs to provide summary of identified children for DSP
-Create cases in SSNet and upload case notes in One Drive

After Case Filter meeting
-Scan and upload Statement of need (SON), Referral letter in Gdrive, where necessary
-Create Master List for Learning Support (LS) and Development Support (DS) cases
-Prepare list of children’s names for KKH clinic appointments to CM and upload on one drive
-Monitor parent/child visit to clinic and issuance of SON by doctor in SSNet
-Email to KKH on transfer of known DCD cases
-Perform means test application in NMTS for DS LS & DS PLUS cases
-Update subsidy outcome in Master List and Take Up list
-Certified true copies of relevant documents (photocopies) to MOH, file original forms/documents after conducting means testing
-Inform service providers/LSEDs/internal therapy team on take-up cases and start intervention
-Billing/Finance
-Ensure accuracy and timeliness on all billing

FLAiR
-Track and update the name list of children in the programme. Create child records in Child Connect and maintain records to ensure accuracy.
-Engage LDU and MFS to organize the FLAiR teacher workshops. Manage attendance and training related queries
-Track Learning Foundation Checklist submissions for MFS centres. Ensure submissions are accurate and complete; follow up with respective centres when necessary
-Assist in the screening and providing of feedback to MFS centres on screening data
-Inform and support centres in clarifications and reassessment of children, including appeals and withdrawals
-Prepare programme data and documentation for triangulation and reporting purposes
-Support MOE/appointed vendor in the communications with MFS centres
-Main liaison person for MFS centres on all FLAiR related matters

Classroom Support Programme
-Generate list of eligible centres and children; check eligibility of children against database when required
-Liaise with Programme Manager, CCF and MFS centre principals on list of children (addition, appeals, graduation, withdrawals)
-Track and update the name list of children in the programme. Create child records in Child Connect and maintain records to ensure accuracy
-Support Programme Manager in following up of training related matters; venue sourcing, invoicing, trainer liaison, claims submission, issue of certificates, etc.
-Provide IT support to CCF when needed and track submissions on Google Drive
-Track and prepare programme data and documentation with accuracy for triangulation and reporting purposes
-Main liaison person for all CSP related matters, include handling of enquiries from phone and e-mail, follow-up outstanding matters
-Ensure update and archival of records on Google Drive
-Maintain a good relationship with all stakeholders

Survey and Data Related
-Main liaison person for CSS Survey related matters, coordinate with CHD Research Team on the implementation of surveys
-Engage CSS Managers on the review and implementation of surveys
-Coordinate with CHD Research Team on data related matters when necessary

Others
-Coordinate logistical support for meetings and departmental events
-Any other ad-hoc tasks assigned
-DS_LS admin project

 

Job Requirements:
A degree from any recognized university

Technical Competencies:
-Ability to plan, organize, execute and facilitate programmes and activities
-Ability to engage stakeholders and partners
-Good written and spoken English
-Proficient is using teleconferencing tools (Zoom, Google Meet, Webex eg)
